FAQs about Abstract Submissions

What do I have to do to submit the abstract?
Submit your abstract online via this secure link:  (webpage will be open for submissions until 9/15/2023 at 11:59 PM Hawaii Standard Time).

You are required to submit your abstract for review (350 word limit). The abstract must be written in English (however your presentation can be multilingual) and will be reviewed on with the following criteria:

  • Relevance to the Asia-Pacific region
  • Connection to the conference theme
  • Research question(s)/inquiry/hypothesis
  • Methodology
  • Theoretical framework or context
  • Findings (new knowledge/insights/data)
  • Writing structure and language

You are also asked to provide a non-technical summary (100 word limit), as it will appear in conference materials.

When is the deadline for the abstract submission?
The deadline for abstracts submission is September 15, 2023

Who should apply & attend?
​​The conference is for graduate students pursuing either master’s or doctorate degrees. We are also inviting limited participation from recently graduated early-career professionals and scholars who have earned a graduate degree within the past three years, in recognition of the unique perspectives they may bring to the conference.
 
Can I submit more than one abstract?
Yes. If you would like to submit more than one abstract, please send separate abstract submission forms for each abstract. Each abstract must be sent separately. Note: Should both be accepted, you will only need to register once.

Can we submit as a research team?
​​Yes, we accept abstracts from research teams of any size. You can choose to have multiple presenting authors, though presentations will proceed with the same restrictions as single-author presentations (i.e. you will be given the same amount of time to present and hold Q&A).  Each author who wishes to attend must register for the conference separately and pay the registration fee.

I want to present in a format that requires more space or extra equipment etc. than an academic talk normally utilizes. How can I indicate this and make sure that my format is possible?
​​Please indicate on your application what format you would like to present in. If you have any questions on logistics, please feel free to email us. For a format the requires an interpreter, we would appreciate it if you can bring your own interpreter or a means of interpreting with you.  

When will I know the results?
Acceptance notices are typically sent out in mid November via email from [email protected].

How does the IGSC committee make abstract selection decisions?
Experts, professors, and PhD students from relevant disciplines serve on abstract selection committees and rate the abstracts in their area of expertise.

What do I need to do if my abstract is accepted?
Once accepted, please complete the conference registration form and online registration payment as directed in the acceptance email.

What do I need to do to register?
All presenters must register online and pay the non-refundable registration fee by early January. (The registration link will be posted after the committee review process)

How much is the registration fee?
The early registration fee for presenters is $85.00 (US Dollar) until December 15th. On 12/16, the fee will increase to $100.00 (US Dollar).

Registration closes on 1/15/2024.

When will I know the conference schedule?
Within two weeks of the closing of the registration period, the conference schedule will be released. You may also check www.eastwestcenter.org/studentconference.
 
May I invite guest(s)?
Paper and poster sessions are open to the public. Guests who wish to attend the conference talks, workshops, poster sessions, and plenaries may check in at the registration table on the day of the conference. Guests who want to attend receptions and meals must pay the conference fee.
